My client is a global investment and technology commercialisation firm with its office near Zug. Following the further growth of the company I am seeking a young professional as the

Office Manager / Assistant

The responsibilities include:

  • Oversee and co-ordinate office administrative procedures including visitor process, catering request, office supplies
  • Maintain filing systems
  • Collaborate with Finance on Debit card payments, Corporate Credit Card and Petty Cash
  • Maintain workplace expenses, invoices and payments for facilities and services
  • Assist with presentation and report preparation
  • Compose and type agendas and correspondence for special events, board meetings, committee meetings and development activities
  • Coordinate and perform all daily workplace-related tasks, meetings, interactions with third-party vendors, clients and suppliers, including landlord, maintenance and building support staff
  • Oversee control and delivery of incoming and outgoing office mail and deliveries
  • Ensure all required insurance policies are up to date and coordinate renewals
  • Coordinate the purchasing of office equipment and supplies with the Procurement team and manage general workplace inventory
  • Organize, plan and coordinate company events as require
  • Assist Human Resources with health and safety and ensure compliance
  • Manage, advise and respond to Directors day to day requests (e.g. communications, queries, leadership responses, follow up etc.) ensuring that meetings are properly prepared for, key stakeholders are briefed and actions followed up upon
  • Arrange internal and external meetings in accordance with Executive’s priorities


In order to comply with our expectation you will need to have:

  • Previous experience in a similar role desired
  • Strong written and verbal communication skills in German and English
  • Trustworthy and discreet with sensitive and confidential information
  • Flexible, driven and team-oriented 
  • Ability to work under pressure, handle multiple tasks, and meet tight deadlines
  • Professional with a friendly and positive disposition
